This policy explains what information we collect through our quote request pages, how we use and share it, and the choices and rights you have.

01About this policy

WhiteStone Communications (“WhiteStone,” “we,” “us” or “our”) provides communication support, contact center and lead generation services. This policy describes how we handle information you provide through whitestonecommunication.com and our insurance quote request pages, including our Medicare and final expense pages.

Our quote request services are intended for residents of the United States only. WhiteStone Communications is registered in the State of Wyoming, with its office at 30 N Gould St, Ste N, Sheridan, WY 82801, USA.

This policy does not apply to the licensed insurance agents, agencies and carriers we connect you with. Once your information reaches them, their own privacy policies govern how they use it. It also does not apply to work we perform on behalf of a business client, where we follow that client’s instructions and their privacy policy applies. This policy covers information collected online and does not cover information collected offline or through other channels, except where stated.

By using our pages or submitting a form, you acknowledge the practices described in this policy.

02Information we collect

Information you give us

Your first and last name, phone number, gender, ZIP code and state, the best time to reach you, and the coverage details you choose on the form, such as whether you currently have life insurance or whether you are enrolled in Medicare Part A and Part B. If you contact us directly, we may also collect your email address, the content of your message and anything else you choose to share. We treat health-related answers as sensitive information and use them only to help fulfill the request you made.

Please do not send sensitive identifiers.We never need your Social Security number, Medicare Beneficiary Identifier, bank or payment card number, or medical records. If we receive them, we will delete them.

Your consent record

When you submit a form we store the exact consent language shown to you, the date and time, the address of the page, your IP address and browser details, and any certification token issued by an independent lead verification provider. Telephone consumer protection laws require us to be able to prove your consent, so we keep this record.

Information collected automatically

Like most websites, we use log files, cookies and similar technologies. These may record your IP address, browser type, internet service provider, date and time of your visit, referring and exit pages, pages viewed, clicks, campaign parameters such as UTM tags, and approximate location based on your IP address and ZIP code. We do not collect precise device location.

Information from others

We may receive information from marketing partners and publishers who pass us quote requests submitted on their own pages, along with the consent record captured there; from phone and address validation services; and from agents who tell us whether a referral resulted in a quote.

03How we use it

  • To connect you with licensed insurance agents who can discuss the coverage you asked about, and to contact you about your request.
  • To confirm that a request is genuine, validate phone numbers, and check against do-not-call lists.
  • To keep proof of the consent you gave, which we may need for a regulator, a carrier audit or a legal claim.
  • To meet our legal obligations, including telemarketing, do-not-call and Medicare marketing rules.
  • To operate, maintain and improve our pages, understand how visitors use them, measure campaigns, train our team and prevent fraud.
  • To respond to your questions and customer service requests.

04Who we share it with

Licensed insurance professionals. When you submit a quote request, the information on that form is sent to one or more licensed insurance agents, agencies or carriers so they can contact you about the coverage you requested. That is the purpose of the form and what you agree to when you submit it. We may be compensated for that referral.

Because we may be paid, some U.S. state privacy laws treat this as a “sale” or “sharing” of personal information. You can opt out at any time as described in section 7.

Service providers. We share information with companies that work for us under contract, such as website hosting, CRM, phone and text messaging platforms, call recording, analytics, and phone and address validation. Our forms may run scripts from lead certification providers such as Jornaya and TrustedForm, which independently record how and when consent was given.

Advertising and analytics partners. Third parties may use cookies, JavaScript or web beacons to measure advertising and website performance. We do not control the privacy practices of these third parties, and we encourage you to review their policies.

Legal and business reasons. We may disclose information when the law requires it, to protect our rights or defend a legal claim, or to a buyer or successor if our business is sold or reorganized.

We do not share your information for purposes unrelated to the request you submitted, and we do not knowingly sell the information of anyone under 16.

05Calls and text messages

Call recording. Calls to and from our contact center may be recorded and monitored for quality, training and compliance. You will be told this at the start of the call. If you do not want to be recorded, tell the agent and the call will end. Federal rules require Medicare sales and enrollment calls to be recorded in full, so recording cannot be turned off on those calls.

Text messages. If you consent, we may text you about your request. Message frequency varies. We do not charge for text messages, but message and data rates from your wireless carrier may apply. Carriers are not liable for delayed or undelivered messages.

How to stop contact. Reply STOP to any text message, or HELP for help. Ask an agent on any call to add you to our do-not-call list. Use the unsubscribe link in any email. Or email info@whitestonecommunication.com or call 509-768-2249. A request made through any reasonable method is valid, and we act on it promptly.

Your phone number is shared with the agents described in section 4, who may contact you under their own programs. If you want them to stop, please tell them directly as well, because they maintain their own do-not-call lists. Other than that referral, we do not sell or share phone numbers or text message consent for unrelated marketing.

06Cookies and tracking

We use cookies and similar technologies that are strictly necessary for our pages to work, along with functional, analytics and advertising cookies. Cookies help us remember your preferences, analyze traffic and usage, and customize content based on your browser and visit.

You can block or delete cookies in your browser settings. Some features of our pages may not work properly if you do. The lead certification scripts on our forms support our compliance obligations and are not used for advertising.

We honor the Global Privacy Control and similar universal opt-out signals as a request to opt out of sale, sharing and targeted advertising for that browser. Because the signal is tied to a browser rather than to you, use section 7 if you want an opt-out that applies to your record.

07Your privacy rights

Depending on where you live, you may have the right to:

  • Know and access the personal information we hold about you, and get a copy of it.
  • Correct inaccurate information.
  • Delete your personal information.
  • Opt out of the sale or sharing of your information and of targeted advertising.
  • Limit our use of sensitive information.
  • Appeal a decision we make about your request.

Visitors in regions covered by the GDPR or similar laws may also have rights to restrict or object to processing and to data portability. We will never treat you differently for exercising any of these rights.

To make a request, email info@whitestonecommunication.com with the subject line “Privacy Request.” Tell us what you would like us to do and include the name, phone number and ZIP code you used, so we can find your record. We verify your identity before acting on a request about specific information, and we use the details you send only for verification.

We aim to acknowledge your request within 10 business days and respond within 45 days, with one extension if the request is complex. You may use an authorized agent, and we will ask for written permission signed by you.

Opting out of sale and sharing does not cancel a request you already submitted. To stop an agent who already has your details from contacting you, follow section 5.

08How long we keep it

We keep quote request records and consent records for at least five years, because telephone consumer protection claims can be brought up to four years after contact. Medicare sales, marketing and enrollment call recordings are kept for ten years, as federal rules require. Other call recordings are generally kept for one to two years. Do-not-call entries are kept indefinitely, since deleting them could result in contacting you again by mistake.

For these reasons we may be unable to fulfill part of a deletion request. If that happens, we will tell you which exception applies, delete everything else, and restrict the remaining information to that purpose only.

09Security and where it is processed

We use reasonable technical and organizational safeguards to protect your information from unauthorized access, disclosure, alteration or destruction. These include encryption in transit, access limited to staff who need it, multi-factor authentication, staff confidentiality agreements, and controlled contact center environments. No method of internet transmission or electronic storage is completely secure, so we cannot guarantee absolute security. If a breach affects you and the law requires notice, we will notify you.

Your information is stored on servers in the United States and may be accessed by our team and service providers in the United States and in other countries where they operate. Some agents who contact you may be located outside the United States. The same protections apply wherever your information is handled.

10Children

Our quote request services are for adults. We do not knowingly collect information from anyone under 18, and our forms require you to confirm you are 18 or older. If you believe a child has given us personal information, email info@whitestonecommunication.com and we will promptly delete it.

11Changes and contact

We may update this policy when our practices or the law change. The “Last updated” date at the top shows when the current version took effect, and we will post notice on our pages before a material change takes effect. We encourage you to review this page from time to time.
